Course Cancellation

Course Booking and Cancellation Policy
As a small business, late cancellations and low attendance can significantly impact our ability to run courses sustainably. Running a course with fewer than four delegates is not cost-effective for us. While we are friendly and flexible, we are not a charity, so we kindly ask that you follow these straightforward and courteous terms when booking:

  • Payment
    Please pay promptly upon receiving your invoice to confirm your place on the course.
  • Cancellations – 4 weeks or more before the course
    You may cancel with a full refund if we receive at least 4 weeks’ notice. This gives us sufficient time to fill your place.
  • Cancellations – less than 4 weeks before the course
    A 50% fee will apply if you cancel within 4 weeks of the course start date, as it’s unlikely we’ll be able to resell your place and we will still need to run the session for others booked on.
  • Delegate substitutions
    You are welcome to send a replacement delegate at no extra cost, provided we receive their details before the course begins.
  • Cancellations within 7 days of the course or after it starts
    No refunds or substitutions can be offered at this stage, as we will have already incurred administrative, registration, and delivery costs on your behalf.

Registration Charges

You must complete your Enrolment Form for course registration prior to the course start date. If this is not completed, we will charge you a late registration fee of £30 +VAT

Plagiarism Costs

If plagiarism is identified in your assignment submission—including the use of AI tools such as ChatGPT or uncited references—you will be required to pay an additional fee of £30 + VAT per hour to cover the cost of reassessing your work. This charge reflects the additional time and resource required to review resubmissions and ensures fairness across all learners.

We recognise that AI tools, like ChatGPT, can support learners in checking and refining their work. When used appropriately, they can be a valuable learning aid. However, it’s important to use AI in a way that is fair, transparent, and aligns with our integrity and quality insurance policies.

Please speak with your tutor if you’re unsure about how to use AI tools appropriately, and refer to our Plagiarism Policy in your induction pack for full guidance.

Maximum Duration of Learning

Registration on the course will last for a maximum of 2 years. If you go over this time, you will be required to pay additional fees which include:

  • Re-registration with the awarding organisation
  • Additional assessment and marking
  • Travel to complete outstanding observations

Replacement Certificates

Once you have completed your qualification, your certificate will be sent to you / your employer

  • If you require a replacement certificate, the cost of this will be £35 +VAT
  • If you require a replacement online certificate, the cost of this will be £15 +VAT

Workshop Cancellation

For workshop bookings, please pay your invoice as soon as you receive it to reserve our time for your organisation. If you cancel a workshop within a month of the scheduled date for delivery, we will charge you 50% of the course cost. This is because we have reserved our time for you and it’s unlikely we will be able to replace the workshop with something of a similar value.

If we have to reschedule a course, due to unforseeable circumstances, we hope that you could attend the new date, if this is not possible,  a full refund will be given if the attendees cannot make the new date.

Copyright

We’ve invested years into developing our original course content and resources. These materials are shared with our paying clients for personal and professional development use only. All Panda Education materials are protected by copyright and remain our intellectual property.

We kindly ask that our content is not used or redistributed by other companies, consultants, or training providers for commercial purposes without our explicit permission.

If you would like to use our resources to support others—either within your own organisation or externally—you must contact us first to request permission.

We are open to our content being shared beyond course attendees, but only in ways that are fair and respectful of the time, expertise, and creativity we’ve put into producing them.

Carbon Reduction Plan

Panda Education and Training Ltd. is committed to reducing its carbon footprint by leveraging digital solutions, minimising travel, and adopting sustainable practices suitable for a micro business with remote work operations. This plan outlines practical steps to further decrease emissions.

1. Energy Efficiency

Home Office Best Practices: To provide guidance on energy-efficient home office setups for employees, including:

  • Using energy-efficient LED lighting.
  • Powering down computers, monitors, and other electronics when not in use
  • Equipment efficiency when purchasing new equipment

2. Sustainable Procurement

  • Digital Tools and Platforms: Continue to utilise cloud providers for software and applications
  •  Choose Eco-Friendly, locally sourced supplies

3. Travel Reduction and Offset

  • Online Meetings: Maintain the current practice of holding 85% of meetings online. Where possible use public transport or share lifts for in person meetings.
  • Carbon Offsetting: Panda Education and Training will research and commit to a local Carbon Offsetting project /  initiatives to launch by January 2026.

4. Waste Minimisation

  • Paperless Operations: Continue operating as a paperless business and use digital document sharing and collaboration tools to reduce waste.
  • Recycling and E-Waste Disposal: Continue to recycle e-waste through our IT Provider.

5. Employee Engagement and Education

  • Sustainability Education: All staff are inducted into the organisation’s practices for reducing carbon footprint at the start of employment.

6. Annual Carbon Footprint Assessment

Monitor and Track: Use an online carbon footprint calculator to estimate the emissions from the business’s energy use, travel, and digital operations. Track year-over-year progress. To be implemented from January 2025.

Target Goals:

   – Reduce emissions associated with home office energy use by 10% annually.

   – Offset 100% of emissions from unavoidable travel by December 2026

   – Achieve Net-Zero by 2030
